WHAT YOU WILL BE DOING:
  • Provide high-level administrative support to the Chief Legal Officer (CLO) and Chief Financial Officer (CFO), including heavy calendar management, prioritization of meetings, and coordination of day-to-day office operations.
  • Manage travel arrangements, both domestic and international, with the ability to quickly adjust plans based on changing executive needs.
  • Perform assistant secretary duties such as registered agent management, notarizations, apostilles, and support with Board of Director-related tasks as needed.
  • Prepare and process expense reports using Concur, coordinate onsite meeting logistics, and ensure office readiness including materials, catering, and scheduling.
  • Serve as a visible and dependable point of contact for executive leadership, demonstrating professionalism, discretion, and the ability to pivot in a fast-paced environment.
 
BACKGROUND THAT FITS:
  • 5+ years of experience supporting C-suite executives, with proven ability to manage complex, high-volume calendars and prioritize competing demands.
  • Strong organizational and communication skills, with experience coordinating travel, managing expenses in Concur, and supporting day-to-day office operations.
  • Proficiency in Microsoft Outlook, Word, PowerPoint, Excel (basic preferred), and the ability to convert and manage PDFs.
  • Experience handling sensitive legal and corporate administrative tasks such as registered agent management, notarizations, and apostilles.
  • Ability to work onsite 5 days per week in a high-visibility role, with flexibility to pivot quickly, solve problems independently, and maintain discretion
