DOCUMENT MANAGEMENT SPECIALIST
THE TEAM YOU WILL BE JOINING

Join a large, established energy and utilities organization supporting document management and process documentation initiatives.

Work closely with document owners, authors, subject matter experts, and other internal stakeholders to maintain accurate and up-to-date documentation.

Support the day-to-day administration of controlled documents throughout their lifecycle, from creation and review through publication, archival, and cancellation.

Help ensure documentation is organized, current, and maintained in accordance with established document management standards.

WHAT YOU WILL DO
-
Support the management of controlled documents throughout their full lifecycle.
-
Coordinate document reviews and route documentation through required approval processes.
-
Maintain version control and ensure documents are accurate and current.
-
Assign document numbers and support document publication, archival, and cancellation.
-
Maintain document repositories and complete documentation records.
-
Track document review schedules, deadlines, and overall document status.
-
Communicate upcoming reviews, requirements, and deadlines to document owners and stakeholders.
-
Respond to document-related requests and provide guidance on established document management processes.
-
Support audit readiness by ensuring required documentation and records are properly maintained.
-
Partner with stakeholders to develop and update standard operating procedures (SOPs), process maps, job aids, and related documentation.

Participate in working sessions with subject matter experts to gather information and document processes.
-
Incorporate stakeholder feedback and revisions into existing documentation.
-
Ensure documents align with approved processes and organizational standards.

Manage multiple documentation requests and priorities simultaneously.
BACKGROUND THAT FITS

Experience with process documentation, document management, document control, records management, administrative documentation, or a related area.
-
Experience maintaining, updating, reviewing, or coordinating business documentation.
-
Strong organizational skills with the ability to track multiple documents, deadlines, and requests.
-
Comfortable communicating and following up with multiple stakeholders.
-
Ability to gather information from subject matter experts and translate it into clear documentation.
-
Experience working with SOPs, procedures, job aids, process documentation, or similar materials.
-
Proficiency with Microsoft Office.

Experience with Microsoft Visio and process mapping.
-
Strong attention to detail and ability to maintain accurate records.
-
Ability to manage competing priorities in a deadline-driven environment.
NICE TO HAVE

Previous experience supporting controlled documents or formal document management processes.

Experience maintaining document repositories and version control.

Exposure to audit or compliance-driven documentation.
