THE DETAILS:
- On-site 4 days a week in Uptown
- 3 month contract position with possibility of extending
WHY THIS ROLE IS IMPORTANT
- Manage the administration and accuracy of the company’s 401(k) plan, ensuring compliance with all regulatory requirements and internal policies
- Monitor and reconcile payroll deductions related to 401(k) contributions, identifying and correcting discrepancies in collaboration with payroll and recordkeeping teams
- Execute a parallel review process alongside payroll runs to catch and resolve errors in participant contributions and employer matches
- Maintain detailed records and reports to support audit readiness and compliance with ERISA and Department of Labor regulations
- Serve as a key resource for inquiries related to 401(k) plan administration from employees, management, and third-party vendors
- Collaborate with internal teams and external partners, including Fidelity and Workday support, to ensure smooth plan operations and timely issue resolution
- Assist with process improvements and special projects to enhance plan accuracy and efficiency during a period of system configuration and growth
- Support cross-training efforts to ensure continuity and coverage during peak periods and employee leaves of absence
THE BACKGROUND THAT FITS
- Minimum of 3 years of experience administering qualified and non-qualified retirement plans, with a strong focus on 401(k) plan management
- Proven expertise in managing complex 401(k) plan processes, including payroll deduction reconciliation and compliance with ERISA and IRS regulations
- Familiarity with Workday and Fidelity preferred, with the ability to work alongside payroll and benefits teams to ensure accurate plan administration
- Strong attention to detail and organizational skills to manage high-volume data for approximately 10,000 participants
- Excellent written and verbal communication skills to collaborate effectively with internal teams and external vendors
- Ability to follow established procedures and work independently within a fast-paced, evolving environment
